South African job application document checklist

Know which documents to prepare for private-sector, public-service, learnership and graduate applications.

Submitting every document you own is not safer. Send the documents the advert asks for, in the requested format, and protect sensitive information throughout the process.

Prepare a clean application folder

Keep an updated CV, qualification records and clearly named scans in one private folder. Check whether the advert requests certified copies at application stage or only from shortlisted candidates.

A private-sector application does not normally use the Z83 form. Public-service adverts should be checked individually against the official circular and department instructions.

Protect your personal information

Use the employer’s official portal or the destination named in the official advert. Be cautious when asked to send identity documents to a free email address or messaging account.

Never provide a bank PIN, password or payment to process an application. Keep a record of the URL, date and vacancy reference you used.

Worked example

Build one secure master folder, then a role-specific pack

Your private master folder can hold a current CV, academic record, qualification evidence and clearly named scans. For each vacancy, create a separate folder containing only the version submitted, the advert or link, the reference and the confirmation message.

This avoids two opposite errors: sending sensitive documents that were never requested, and discovering near the deadline that an essential scan is unreadable. Certification and form requirements must come from the specific advert.

More documents do not automatically create a stronger application. Use the official advert to decide what is necessary now and what should remain private.

  • Is each requested certificate, transcript or form named in the current employer instructions rather than an old social post?

  • Have you checked whether copies must be certified now, later or only if the employer shortlists you?

  • Does every filename identify the applicant and document without exposing an identity number in the filename?

  • Are sensitive files being uploaded to the verified employer destination instead of a forwarded form or informal account?

Sending everything

Unrequested ID and bank documents increase privacy risk and can make an application harder to review.

Assuming every government role uses Z83

The vacancy instructions decide; public entities and municipalities may use different systems.

Renaming files carelessly

Names such as scan0004.pdf give no clue what the document contains and make last-minute errors harder to spot.

Must every copy be certified?

Only follow the stage and certification instructions in the official advert. Some employers request evidence later from shortlisted candidates.

What should I keep after submitting?

Keep the advert, URL, reference, exact files, date and any confirmation. This lets you prepare consistently if contacted later.

Can I combine documents into one PDF?

Do so only when the portal or advert permits it. Preserve the requested order and check file-size limits before the deadline.

Should I attach my ID to every job application?

No. Send identity evidence only when a legitimate employer process requests it at the relevant stage. Verify the destination first, limit unnecessary personal information and never send a bank PIN, password or one-time code.
